Overview
A Community is a visibility layer in Pacer that controls which tasks a user can see. Every task is assigned to a single Community, and every user is granted access to one or more Communities. A user will only see tasks that belong to a Community they have been granted access to.
This affects what appears on a user's Tasks page as well as the data used to populate their dashboards and reports. Communities let you maintain a single, complete task list for a location or team while surfacing only the relevant tasks to each person.
Common scenarios where Communities add value:
- Corporate vs. location tasks: A location has tasks completed both on-site and by a corporate team. Corporate tasks are placed in a separate Community so location-level staff only see what is relevant to them.
- Project manager oversight: A project manager needs to track tasks across multiple location teams. Those tasks are placed in a Community only the PM can access, keeping the location team's view uncluttered.
- Vendor access: A vendor needs to complete specific tasks without seeing internal ones. Vendor tasks are placed in a dedicated Community granted only to that vendor.
Note: Each task belongs to exactly one Community, but each user can belong to multiple Communities.
Task Visibility Exception: Prerequisites and Dependencies
There is one exception to standard Community visibility rules. If a task has been linked to another task as a prerequisite or dependency, and that linked task belongs to a Community the user does not have access to, the user will still see the name of that out-of-community task — but only within the Task Detail drawer, in the prerequisites or dependencies section.
How To
- Navigate to the Admin Menu and under the Task Config section choose Communities
- Here, you can click Add New in the upper right corner to make a new community
- After you've made a community, be sure to head back to the User List page to add the community to your profile and any else's profile who should have the ability to see these tasks.
- Now, when creating new tasks, you'll see this community as an option
